Out of Stock (Stock-Out) History
Overview
The Stock-Out History report exports a record of every time one of your products was marked out of stock at any of your stores. Use it to see how often items run out, how long they stay unavailable, and which stores or products are most affected.
You can find it in Management Center > Analytics > Data Export, under the Operations group, alongside your existing sales and financial reports.
Intended Users
- Operations managers monitoring how often menu items run out across the chain.
- Store managers reviewing their own store's stock-out patterns and recovery times.
Generate the Report
- Sign in to the Management Center.
- Go to Analytics > Data Export > Create Report.
- Pick your stores. Select individual stores or choose a store group.
- Pick a date range. Choose a preset (Today, Yesterday, Last 7 Days, This Week, Last Week, This Month, Last Month, or This Year), or set a custom start and end date.
- Under Data, open the Operations section and select Stock-Out History.
- (Optional) Add email recipients to have the file delivered automatically, or set up a recurring schedule (daily, weekly, or monthly) so the report is generated on a cadence.
- Click Generate, or Schedule Export if you set a recurrence.
When the file is ready, it appears in your Data Export list with a download button. One-time exports usually finish in seconds. Very large date ranges may take longer.
File Content
The export is an Excel workbook (.xlsx) with a single sheet titled Stock-Out History. Each row is one stock-out event.
| Column | Meaning |
|---|---|
| Venue | The store where the product was marked out of stock. |
| Product | The product that was marked out. |
| Status | Out of Stock if the product is still unavailable when the report runs, or Returned to Stock if it has been restocked. |
| Marked Out of Stock At | When the product was marked out (date and time, in your brand's timezone). |
| Returned to Stock At | When the product was put back in stock. Shows — if the product is still out, or if it was returned through a path that did not record a timestamp. |
| Duration (minutes) | Total minutes the product was unavailable. For items still out, this counts from the marked-out time up to the moment the report was generated. |
Rows are sorted newest first by Marked Out of Stock At.
Reading the Data
- The date range filters by when an item was marked out, not when it was returned to stock. If a product was marked out before your selected range and returned during it, it does not appear. Widen the start date to capture long running outages.
- Duration for currently-out items is open ended. It is measured up to the time the export ran, so the same item shows a larger duration if you rerun the report later.
- Status reflects the product's current availability, not just whether the history record has a return timestamp. A product that is back in stock shows Returned to Stock even if the original return was not logged with a timestamp. In that case, the Returned to Stock At column shows —.
- Manual marks only. This report tracks items that staff or an integration explicitly marked out of stock. It does not include items that were unavailable because of menu schedules, store closures, or POS sync gaps.
- Times are shown in your brand's local timezone.
Common Use Cases
Which items run out most often?
Sort by Product in Excel and count rows per product. Items with the most rows are your repeat offenders.
How long do we stay out when it happens?
Use a pivot on Product with the average of Duration (minutes) to see which items take the longest to recover.
Which stores run out of stock most often?
Pivot on Venue and count rows per store. Pair this with sales volume to spot stores that may be overselling or understocking.
Are we still out of stock right now?
Filter Status for Out of Stock. Anything with a large Duration needs immediate attention.
Permissions
To create, schedule, or download data exports, you need the Data Export permission (under Analytics) on your Management Center role. If you do not see Data Export in the Analytics menu, ask your account admin to grant it.
Troubleshooting
| Symptom | Likely Cause |
|---|---|
| The export is empty | No products were marked out of stock at the selected stores during the date range. Widen the range or confirm you selected the right stores. |
| A long outage you remember is not in the file | It may have been marked out before the start date. The filter is based on when the item was marked out, not when it was returned. |
| A product shows Returned to Stock with — in the returned timestamp | The product is currently available, but the original return did not record a timestamp (for example, it was returned through a path other than the standard back-in-stock action). |
| Generation is taking a long time | Very large date ranges across many stores can produce big files. Try a narrower range or fewer stores, or schedule the report and let it deliver to email. |
| You do not see the Operations section in Create Report | The feature may not be enabled for your environment yet. Confirm with your account team. |
