Q Factors and Modifiers Scaling Document

Q-Factors and Modifier Scaling is an above-store function that allows administrators to set usage values for items or ingredients that cannot be handled through normal setup and integration with the POS. For example, items that are used but not sold through the POS, like condiments put out on tables.

Depending on whether your organization has dynamic modifiers enabled, there may be 3 or 4 tabs:

Tab Description
Q-Factor Set up items that are not entered or sold through the POS, but still have usage based on volume.
Modifier with Volume Increase Factor Set up modifiers that increase the parent item's quantity by the same value each time.
Modifier with Tracking Item Set up modifiers whose use can be different depending on the item they're associated with.
Dynamic Modifiers Set up modifiers for toppings whose per-item quantity shrinks as more toppings are added.

This activity is available on the Smart Client ONLY.

How Do I Create A Q-Factor?

Q-Factors can be used when you have an item that's consumed but never sold (such as condiment packets), and you want to estimate usage based on sales volume or guest counts.

  1. Go to Q-Factors & Modifier Scaling
  2. Select the Q-factor tab
  3. Select Add
  4. In the 'Q-FACTOR' column, select the basis for the estimate: Net Sales, Gross Sales, or Number of Guests
    • This will be the basis of measure which determines that the item is used. For example, you might estimate that for every 100 guests, half a bottle of ketchup would be used.
  5. Enter the amount in the 'AMOUNT' column
  6. Select the item being used in the 'ITEM' column
  7. Choose the 'UNIT OF MEASUREMENT'
  8. In the 'QUANTITY' column, enter the quantity used per that amount
  9. Select a Start Date and End Date, if needed
  10. Enter a comment in the 'COMMENT' column, if necessary
  11. Select Save
    • Optional: Select Details to apply Smart Groups to the Q-factor. This can be used to restrict the Q-factor to specific units or groups.

How Do I Set Up Modifiers With Volume Increase Factor?

A Modifier with Volume Increase Factor is used when one item is added to another and increases the volume of the sold item by a factor. This is commonly used for alcoholic beverages—for example, adding an "Up" modifier to a drink increases its pour. The factor multiplies the unit of measure to create the item's final volume, which saves you from having to build a separate recipe for every upsized version of an item.

  1. Go to Q-Factors & Modifier Scaling
  2. Select the Modifier with Volume Increase Factor tab
  3. Select Add
  4. Select the Item
  5. Choose a Volume Increase Factor
  6. Select a Start Date and End Date, if needed
  7. Enter a comment in the 'COMMENT' column, if necessary
  8. Select Save

You cannot apply Modifiers with Volume Increase Factor to specific Units or Groups.

How Do I Set Up Modifiers With A Tracking Item?

The Modifiers with Tracking Item tab allows you to link a modifier to an item based on the parent item it's sold with. For example, an $ADD CHZ modifier could be created to specify an ounce of cheddar cheese that would be commonly used as an addition to many menu items (burgers, sandwiches, etc).

  1. Go to Q-Factors & Modifier Scaling
  2. Select the Modifier with Tracking Item tab
  3. Select Add
  4. In the Parent section, select the parent item and its unit of measure (this is the item the modifier gets added to)
  5. In the Modifier section, select the modifier item and its unit of measure
  6. In the Tracking section, select the inventory item that should actually be tracked or depleted, and its unit of measure. This can be the same selection, or a completely different item from the modifier itself.
  7. Enter a Tracking Quantity Multiplier
    • If the Tracking Item and Modifier are the same item, the quantity entered will be added or subtracted to the amount that has already been linked in POS Item Linking.
  8. Select a Start Date and End Date, if needed
  9. Enter a comment in the 'COMMENT' column, if necessary
  10. Select Save

How Do I Set Up Dynamic Modifiers?

Dynamic Modifiers adjust topping quantities based on how many toppings a guest orders. For example, on a build-your-own pizza, a pepperoni-only recipe may need more pepperoni to fill up the whole pie than a pizza that has pepperoni, onions, and olives.

  1. Go to Q-Factors & Modifier Scaling
  2. Select the Dynamic Modifiers tab
  3. Create a new entry and fill in:
    • Parent Item and Parent UoM
    • Modifier Item and Modifier UoM
    • Quantity 1 (amount used when the Modifier Item is the only qualifying topping)
    • The Start Date
  4. Optionally, fill in Quantity 2 through 5+
    • Leave any of these blank and the system carries forward the last quantity you did enter. For example, if you set Quantity 1 and Quantity 4 but skip Quantity 2 and 3, both of those will inherit the Quantity 1 value
  5. If the rule should expire, set an End Date
  6. Toggle the Active column to ON
    • Toggling the Active column to OFF removes the modifier from sales processing and reporting without deleting it
  7. Select Save
