Logins

The Logins activity in PAR OPS allows Above Store operators to create and manage user login credentials which define access to the system based on one of three roles: Store, Multi-Store, or Admin. These roles determine which activities a user can access and help structure the organizational hierarchy through Smart Group assignments. This document includes instructions for Above-Store operators on how to can configure logins, assign roles, and manage access, while users will learn how to log in and manage their passwords. PAR OPS does not charge for logins, so customers are encouraged to create unique logins for each user and role.

How do I create a new user login?

Fields marked as * on the entry form are required.

  1. Go to Login Management
  2. Select Add New From Existing
  3. Select the login that has like credentials to be used as a copy of the new login being created.
  4. Select Create
  5. Enter the Login Name
  6. Enter the User Name
  7. Select the Unit (If the login is a Unit login)
  8. Enter the Email
  9. Enter the Password
  10. Make any other adjustments needed including selecting/removing Groups
  11. Click Save

How do I modify a login?

  1. Go to Login Management
  2. Select the appropriate tab
  3. Navigate to the login to adjust
  4. Make the necessary adjustments, including selecting the > to add/remove Groups and/or Endpoints (used for logins with API access)
  5. Click Save

How do I delete a login?

  1. Go to Login Management
  2. Navigate to the login
  3. Select the trash can icon

How do I update the password for one or more logins?

  1. Go to Login Management
  2. Select the login(s) to update
  3. Select  ...
  4. Select update password
  5. Enter the password fields
  6. Click Update

How do I Log In to PAR OPS?

  1. Navigate to the PAR OPS portal
  2. Enter your login credentials
  3. Select Sign In

How do I change my password?

  1. Navigate to the PAR OPS portal
  2. Select Forgot Password
  3. Enter the login used for PAR OPS
  4. Select Reset
  5. A message will appear indicating where the new password will be sent
  6. Navigate to the email sent from PAR OPS
  7. Click the link in the email
  8. Enter your new password information
  9. Select Create
  10. You will be directed to the PAR OPS login page
  11. Enter your login credentials (including the new password you just set)
  12. Select Sign In

How do I adjust the Smart Group(s) assigned to a login?

Logins assigned with the role = Multi Store can only add Smart Groups their login has been assigned.

  1. Go to Login Management
  2. Navigate to the login to adjust
  3. Select > to add/remove Groups
  4. Enter the adjustments
  5. Click Save

Define each role:

  • Admin : known as the PAR OPS System Administrator, this role is responsible for basic set up and maintenance of PAR OPS. There may be more than one person with role of Admin.
    • One Admin may handle creating User Logins, Smart Groups, maintaining Restaurant Units, and Advanced Permission Grants. Another Admin may be involved in food costing of items by creating and maintaining recipes, setting the costing unit of measure(s), linking POS items to items in PAR OPS, and linking metadata to accounts.
  • Multi-Store : assigned to individuals managing more than one store, perhaps  an accountant who needs to authorize business journal imports, journal entries, inventory, and pre-payroll. This role can specify which unit has access to particular purchase items.
  • Store : assigned to individuals at the store level who are responsible for the daily business. This role handles inventory counts, employees, purchasing, and operating profit and loss calculations of a particular unit. Such a role does not have access to the data of other units in the enterprise.

Each role has access to a default set of activities. Associating a Smart Group to a user role lets you restrict access to certain activities. Default activities are mapped to a particular role. Some activities are used by more than one role.

There is also a reserved user role of Support Administrator: used by PAR OPS to maintain data such as billing groups and to set up restaurant units.

  • Login Statistics: shows the last time a user logged in using a specific role or Smart Group.
  • Login Names per Menu Activity: shows which users that have access to a particular activity.
  • Menu Activity per Login Name: shows activities that a particular user can access.
  • Smart Groups - Publishers and Subscribers: shows publishers and subscribers by Smart Group affiliation.
  • Smart Groups - Tree View: shows the last time users associated to Smart Group(s) logged in.
