Schedule Templates
Schedule Templates are used to create schedule formats for units to use to schedule their employees. The template will be used for a Unit to create a Labor Schedule. Multiple formats can be created to be used by one unit or separated by smart groups to be used by multiple units.
This activity is available in the Smart Client ONLY.
Definition of Bands, Tabs, and Columns
Main Band
- 'DESCRIPTION' column: Visible name in Schedules. Visible name when selecting a format in reports.
- 'INTERVAL TYPE' column: Select 60 min, 30 min or 15 min. This range of time slots viewed in Schedules.
- The word’ interval’ will be used in multiple columns and is meant for the user to reference this column.
- 'HIDE' column: Although formats can be deleted, put a check mark in this box to remove this format from view in both reports with format selection and from Schedules.
- Easy mode does not have an option to show hidden rows. Carefully consider this before selecting the Hide option.
- 'FORECAST TYPE' column: Select Sales, Guest Count, Check Count, Entrée Count or Table Count.
- To use any option other than sales in this column, there are a few other steps that must be taken
- Forecast Setup: Select the accounts needed for the schedule.
- The addition of these accounts to your forecast format will not elevate your forecasted values. They only add these accounts to the procedure so they are ready for use with scheduling.
- Schedule Templates: Navigate down to the ‘Accounts’ sub tab (Schedule Formats -> Schedule Bases -> Accounts). Select the same accounts selected in the Forecast Setup form
Schedule Bases Tab
Use this tab to set up Jobs and Accounts to be used to suggest these jobs
- 'DESCRIPTION' column: Description of Job(s) to be assigned to this basis
Details - Jobs Tab
This is where you select the account(s) whose values will used to as the value the Interval Type and Interval Target will use
- 'JOB' column: This is where you select the job(s) for this base to be scheduled
- If a check is in the 'FILTER JOBS' column, only this/these job(s) will be scheduled and shown in Schedules as the default view.
- 'WEEK DAYS' column: This is where you select the day of week to which this assignment should pertain
- 'SHIFTS' column: This is where you select the PAR OPs shift that pertains to this allocation assignment
- These shifts are set up in Calendars in the Day Parts tab.
- 'INTERVAL TARGET' column: The value of the Account(s) for the Interval Type selected where another person working this job would be scheduled
- 'TARGET MATRIX' column: Clicking on Run Designer shows a diagram/chart of when employees will be scheduled
- 'MIN CONTINUOUS INTERVAL (MCI)' column: This is where you enter the least amount of Interval Types an employee has to be scheduled.
- 'MAX DAILY INTERVAL (MDI)' column: Enter the maximum amount of Interval Types an employee can be scheduled.
- '>1 ROUNDING' column: Enter the value at which the next employee should be scheduled once one has already been scheduled
- 'MIN INTERVAL ALLOCATIONS' column: This is where you enter the least amount of shifts that must be working this job at one time during each interval.
- 'MAX DAILY ALLOCATIONS' column: This is where you enter the maximum number of shifts that should be allowed to be scheduled per day.
- 'MAX INTERVAL ALLOCATIONS' column: This is where you enter the maximum number of shifts that should be allowed to be scheduled per interval.
Job Details - Target Matrix Tab
- 'INTERVAL CAP' column: This is where you enter the Interval Target amount where the value deviates from the values entered
Service Time Tab
Use this tab to set up service start and end times that differ from the values entered on the Main Band
- 'SERVICE START' column: This is where you enter the Service Start Time
- 'SERVICE END' column: This is where you enter the Service End Time
- 'DAY OF WEEK' column: This is where you end the Day of Week
Smart Groups Tab
Use this tab to assign the schedule format to specific units
- 'SMART GROUP' column: This is where you select the group for this schedule
- 'GROUP CODE' column: This value is inherited from the Smart Group chosen
- 'GROUP TY PE' column: This value is inherited from the Smart Group chosen
- 'GROUP SCOPE' column: This is where you select one of the following:
- Group Only
- Group and Parents
- Group and Children
- Group and Children and Parents
- 'COMMENT' column: This is where you enter a comment if necessary that is only viewable in this form
