Subscriptions Menus and Services
The Subscriptions, Menus and Services activity provides several options for setting up PAR OPS, including:
-
Activity Menu Setup: apply Smart Groups to provide menu items to specific groups, or disable any menu items that would not be used by your employees.
- Only the activities which are part of your subscription are available to be changed.
-
Mobile Activities: apply Smart Groups to provide mobile activities to specific groups, or disable any mobile activities that would not be used by your employees.
- Only the mobile activities which are part of your subscription are available to be changed.
-
Subscription Groups: review the subscriptions available for your users and adjustments to the Logo, Inventory Frequency, Welcome Screen, and Week Start.
- Subscription Groups are set up by PAR OPS, and define what activities and services have been purchased for use by your organization. An organization may have multiple subscription groups to deploy different services to different groups (such as a subscription providing unique services for Corporate Units vs Franchise Units, or using unique subscriptions for different Restaurant concepts across a larger brand).
-
Web-services: apply Smart Groups to provide web services to specific groups, or disable any web services that would not be used by your employees.
- Only the web services which are part of your subscription are available to be changed.
-
Welcome screen setup: create unique Welcome Screens which can be associated with different subscription groups.
How Do I Launch Subscriptions, Menus, and Services activity
Below are the steps on how to launch Subscriptions, Menus, and Services
- Select Application Administration from the Menu Folder
- Select Subscriptions, Menus and Services activity
Activity Menu Setup
The Activity Menu Setup allows you to disable activities that would not be used by your organization and to apply Smart Groups to activities so the activities only display to specific users. In addition, this activity allows you to turn on Form Control and Private Layouts so the activity screen can be customized.
Only the activities which are part of your subscription are available to be changed.
- 'DESIGN TASK NAME' column: The name of the activity in PAR OPS
- 'FOLDER' column: The menu group that contains the activity in the menu
- 'ROLE' column: The Role(s) which have access to the activity
- 'DISABLE' column: Disables the activity so it does not appear in the menu
- 'FORM CONTROL' column: Allows a custom layout to be created for the activity by users with the Advanced Permission Save Public Layouts
- 'PRIVATE LAYOUT' column: Allows users to make changes to how the activity appears and save the layout for themselves only
A 'PRODUCTION READY' column: May also appear indicating all activities are released to production. Customers will only see Production Ready activities, so all boxes will be checked.
How do I disable an activity?
If an activity will not be used by any users in your business, check the box in the 'DISABLE' column.
Duplicate Activities in Activity Menu Setup
- Periodically activities are updated or replaced, however older versions remain available for two additional production releases.
- If duplicate activities exist (they are designated with a version number in brackets), it is best to disable the version not in use so you don't have repeated activities appearing in your menu.
How Do I Assign A Smart Group To An Activity?
Assigning Smart Groups to an Activity restricts access to that activity. To grant access to selected users, assign a Smart Group to both the Activity and the User Login.
The 'ROLE' column specifies which user roles can use an activity. If the Role limits access to the correct users, you would not need to apply for a Smart Group.
- Select the Activity to add a Smart Group to
- Click Details
- Select the appropriate Smart Group
- Click Done
- Any users needing access to the activity would need to be assigned the same Smart Group in Logins.
Mobile Activity
Mobile Activity allows you to disable mobile activities that would not be used by your organization and to apply Smart Groups to mobile activities so they only display to specific users. Only the mobile activities which are part of your subscription are available to be changed.
Disable a Mobile Activity
- If a mobile activity will not be used by any users in your business, check the box in the 'DISABLE' column.
Subscription Groups
Subscription Groups review the subscriptions available for your users and adjustments to the Logo, Inventory Frequency, Welcome Screen, and Week Start.
Some columns in this activity are read-only and cannot be changed, but they do provide you with good information about your subscription.
-
'DESCRIPTION': the name of the Subscription Group (this is defined by PAR OPS Software)
-
'DEFAULT' column: signals which group is designated as the default for when new Logins and Restaurants are created
-
'SUBSCRIPTION TYPES' column: indicates the type of subscription purchased and therefore which activities are included
-
'SUFFIX' column: allows a custom suffix (the text after the @ in a login) to be defined for a login group
- This can be useful to separate concepts or corporate vs franchise units. Since a login can only belong to one subscription, an Admin Login for each subscription must be set up, even if they are used by the same individual. Having a clear admin@frankspizza and admin@franksicecreamshoppes can be very helpful in keeping logins straight.
- When entering a Database Suffix, only use characters, digits (periods and hyphens are allowed if the rules below are followed):
- <null> (cleared) is allowed and will use the standard suffix for the subscription group
- Any letter is allowed
- Numbers between 0 and 9 are allowed
- A suffix must be a minimum of two characters and may not exceed 253 characters
- Hyphens (-) may be used, but suffixes may not start or end with a hyphen (franchise_group is allowed, but -franchisegroup, or franchisegroup- is not)
- Periods (.) may be used, but suffixes may not start or end with a hyphen (franchise.group is allowed, but .franchisegroup, or franchisegroup. is not)
- Do not use other symbols such as ' +, |! " £ $ % & / ( ) = ? ^ * ç ° § ; : _ > ] [ @
- Do not use accented characters such as à, é, ò, ñ, ç, etc...
-
'INVENTORY FREQUENCY' column: select an inventory frequency for the subscription group
-
'START WEEK' column: select a day of the week to define the week start for the subscription group
-
'WELCOME SCREEN' column: defines which Welcome Screen is used for the subscription group (see Welcome Screen Setup)
This is a nice way to create custom branding for concepts or franchise groups.
-
'LOGO IMAGE' column: select a logo to display at the top-right of PAR OPS for the subscription group (must be less than 200K in size and is constrained to 84 pixels in height)
This is a nice way to create custom branding for concepts or franchise groups.
-
'SUPPORT CONTACT PERSON' column: enter the Name, Phone, and Email for the Administrator you have assigned at your company for the subscription group
The Support Contact Person band information displays when a user clicks Contact Info under the Help Tab.
Web Services
Web-services allows you to disable Web-services that would not be used by your organization and to apply Smart Groups to Web-services so they only display to specific users.
- Disable A Web-service
- If a Web-service will not be used by any users in your business, check the box in the 'DISABLE' column.
- Address For DC Mobile Access
- The client address for web access is their server address, followed by /Mobile and the port number.
After logging into DC Mobile, you will see any Dashboards, Reports or Activities available online for the login. Any users needing access to the mobile activity would need to be assigned the same Smart Group in Logins.
- Address For Web Services Access
- The client address for web access is their server address followed by /web and the port number, followed by /services
- Users must have web access activated in Logins to use the activities via the web.
- The web services activated for the login will display on the page.
- Clicking any web service will show the options available.
How Do I Assign Smart Groups To Web Services?
Assigning Smart Groups to Web-services restricts access to those Web-services. To grant access to selected users, assign a Smart Group to both the Web-services and the User Login.
The 'ROLE' column specifies which user roles can use an activity. If the Role limits access to the correct users, you would not need to apply a Smart Group.
- Select the Web-services to add a Smart Group to
- Click Details
- Select the appropriate Smart Group
- Click Done
Welcome Screen Setup
You can create custom welcome screens for subscription groups, customizing the background image, and delivering a custom message in the login box. Only the web services which are part of your subscription are available to be changed.
- Enter a name for the customer welcome screen settings you are creating in the 'WELCOME SCREEN NAME ' column
- Select a splash screen image that appears as PAR OPS first loads (the area is 600 px wide X 400 px height, a smaller image will tile/repeat) in the 'BACKGROUND IMAGE' column
- Enter a time in the 'DISPLAY TIME (sec.)' column if you want the splash screen to display for a specified time
- Enter text you want to appear in the login in the 'MESSAGE TEXT' column
- The message text appears in a yellow band above the login fields
- 'MESSAGES EXPIRE' column: enter a date for the message text to expire if you want it to stop displaying by a specific date
- 'FONT ' column: select a font for the message text
- 'TEXT ALIGN' column: You want your text aligned
- You can create as many welcome screens as you want and apply them to subscription groups by selecting it from the Welcome Screen column in Subscription Groups.
