Activity Feed Setup

The Activity Feed section of the OPS Home page surfaces real-time alerts that support users through essential tasks to help make sure nothing falls through the cracks. Through the Activity Feed Setup activity, Administrators can assign alert visibility to specific store groups so that notifications and process guides are only shown to the teams that need them.

What's the function of each notification?

Operations

Title Description
Audit Tasks Once an audit task for a Checklist is created, this alert is populated for the assigned user until it is marked as Complete.
Missing POS Sales If an End of Day import has not run for a day in the current working period through yesterday, this alert will post until sales are imported or the period has been advanced and this date is no longer included in the current working period.
Adjust Forecast This alert posts to flag when a store's actual sales for a day come in different from what was forecasted, based on a threshold percentage configured in Activity Feed Setup.

Inventory

Title Description
Missing Shift Count This alert posts starting on the day a Shift Count is missing, and will remain until a count is entered or the period has been advanced and this date is no longer included in the current working period.
Missing Daily Count This alert posts starting on the day a Daily Count is missing, and will remain until a count is entered or the period has been advanced and this date is no longer included in the current working period.
Missing Period Count This alert posts for any Period Count from previous days that has not yet been entered. It will remain until at least one item is counted.
Missing Sub-Period Count This alert posts for any Sub-Period count from previous days that has not yet been entered. It will remain until at least one item is counted.
Item Count Alerts This alert posts after approving Inventory for the nearest sub-period to help make users aware of items that should be counted on a daily basis. It returns the top 10 items which have larger variance amounts than the threshold value, and have Count Frequency set to any type except Daily. The threshold value is set directly in Activity Feed Setup.

Purchasing

Title Description
Purchase Order Failed When an error occurs during sending of a Purchase Order, this alert will post and will remain until the order status has changed from Failed to Ordered.
Duplicate Invoice Number When an electronic invoice is imported that contains an invoice number that has already been entered for the vendor on a previous occasion, this alert will post and will remain until the invoice number has been updated, or the invoice is rejected.
Unlinked Invoice Items When an electronic invoice is imported and a vendor item has not yet been linked to a PAR OPS item, this alert will post and will remain until the item is linked and the invoice can successfully import.
Order Placed If auto-send is toggled on in Vendor Administration, this alert posts approximately 15 minutes before vendor cutoff time to flag purchase orders that get auto-created by the system, if the manager hasn't already placed one manually.

Pending Completion

Title Description
Invoice This alert posts to flag invoices that are sitting incomplete, waiting for someone to finish approving/entering them, so they don't get forgotten. Remove by completing or deleting the incomplete invoice.
Journal This alert posts if a journal has been entered but has not been marked as Complete. It will remain until the journal has been marked as Complete, the journal is deleted, or the period has been advanced and this date is no longer included in the current working period.
Trade This alert posts if a trade has been entered but has not been marked as Accepted. It will remain until the trade has been marked as Accepted.
Receiving This alert posts to flag purchase orders that have been marked "Shipped" but haven't been received into the system yet, as a reminder to go do the receiving step. The alert will remain until the purchase order is changed to Invoiced, or any other status.
Payroll Triggers if payroll has not been marked as complete the day after the last day of the current open payroll period. This alert will remain until the payroll has been marked as complete.
Ordering Vendors configured to post an Allow Order Due Alert in Vendors Administration will post this alert on the day an order is due. It will remain until an order has submitted, or until the day of the order has passed.
Inventory This alert posts once a Period/Sub-Period count has been entered but has not been marked as Complete. It will remain until the count has been marked as Complete, the count has been deleted, or the period has been advanced and this date is no longer included in the current working period.

Scheduling & Payroll

Title Description
Employee Timecard Disputes When an employee has disputed their timecard using the PAR OPS App, the dispute is populated for approval until it is Approved or Rejected.
Scheduled Break This notification posts 15 minutes before every scheduled employee break. It will only post once for each scheduled break, and can be dismissed from the feed.
Upcoming Overtime
  • If the employee has PAR OPS scheduled shifts and their [total remaining scheduled hours] + [the actual hours they have already worked for the current schedule] will be greater than 40 hours, this notification will be triggered each day.
  • If the store uses POS Timeclock data and an employee has no PAR OPS scheduled shifts and actual hours reach 32 hours or more, this notification will be triggered each time a POS import occurs.
  • If the store uses PAR OPS Timeclock data and an employee has no PAR OPS scheduled shifts and actual hours reach 38 hours or more, this notification will be triggered every hour.
  • If the store has specially configured payroll rules (such as daily overtime) and the employee will exceed the OT policy and [the remaining scheduled hours] + [the actual hours] will cause them to go into OT, this notification is triggered based on the same POS Timeclock vs PAR OPS Timeclock logic described above.
Ending Shifts When a shift is scheduled to end within the next 15 minutes, this alert will populate until dismissed or until the time of the shift has passed. A second alert populates if an employee is still clocked in at or after their scheduled clock-out time.
Review Auto-Schedule When a schedule has been auto-created, this alert will post and will remain until the schedule is published.
Expiring Employee Certification When an employee's certification will expire within the next 30 days, this alert will populate until the expiration date has been updated, the certification has been removed from the employee's profile, or the employee's status is marked as terminated.
Unlinked Employees This alert posts when an employee's POS record isn't linked to their PAR OPS profile, so their name, hire date, job, rate, and time card data won't sync between the two systems. To clear the alert, link the affected employee.

Employee Requests

Title Description
Time Off When an employee enters a time-off request using the PAR OPS App, the request is populated for approval until it is Approved or Rejected.
Availability Change When an employee enters a change in their schedule availability using the PAR OPS App, the availability change is populated for approval until it is Approved or Rejected.
Pickup Shift When an employee picks up a shift that another employee has dropped through the PAR OPS App, this alert will populate for approval and will remain until the shift has been Approved or Rejected. This alert shows for a store whose configuration is NOT set to auto-approve Swap/Drop requests in Schedule Settings.
Swap Shift When an employee swaps a shift through the PAR OPS App, this alert will populate for approval and will remain until the shift has been Approved or Rejected. This alert shows for a store whose configuration is NOT set to auto-approve Swap/Drop requests in Schedule Settings.

  2. Select the chevron > of the Notification to assign a smart group
  3. Select Add Groups
  4. Select the Group(s)
  5. Select Add

How do I delete a Smart Group from a notification?

  1. Go to Activity Feed Setup
  2. Select the chevron > of the Notification to assign a smart group
  3. Select the trash icon next to the group to remove
  4. Select Delete

How do I edit a Smart Group notification?
