Calculations

Calculations allows the Systems Administrator to maintain calculations for Account totals such as, Total Guest Count or Cash Over/Short.

This activity is available on the Smart Client ONLY.

How Do I Maintain Business Calculations?

Once you have opened Calculations, perform the following

  1. Right click on the 'NUMBER' column and make the appropriate selection if necessary
    1. Number auto-populates when a calculation is added. This is the order in which a calculation occurs.
    2. A calculation that is included in another calculation must occur prior to the calculation in which it is included.
    3. Calculation Name describes the calculation for the account.
  2. Enter the dates in the 'FROM DATE' and 'THRU DATE' columns
  3. Link the calculation in the 'POST TO ACCOUNT' column
    1. Only those accounts that are designated asCalculated in the 'MODE' column under Accounts will populate in this list.
  4. Select the Unit in the 'UNIT' column to restrict use of the calculation to a single unit
    1. The 'UNIT' column defaults to Global Calculation. This applies the account calculation to all units.
  5. Enter Comment in the 'COMMENT' column if needed
  6. Activate the calculation by putting a check mark in the 'ACTIVE' column box
    1. If there is not a check mark in this box, the line will turn pink for easy identification.
  7. Select Balance Forward flag if the account allows the balance to carry over each month
    1. Royalty accounts or any account that needs to be accumulated across time and/or partially depleted after a payment.
    2. 'FIXED', 'DAILY/PERIOD', and 'AMOUNT' columns are all read-only and are defined within the calculation.
  8. Expand details to view or modify calculation details
  9. Select the appropriate option in the 'CALCULATED FORMULA' column to apply to the account
  10. Define Operands for the calculation
  11. Click  Done

How Do I Create A Fixed Calculation?

Once you have opened Calculations, perform the following

  1. Click Add
  2. Enter the line information
  3. Click Actions
  4. Select Create Fixed Amount
  5. Enter the information for the Fixed Amount
  6. Click Actions and select one of the following:
    1. Clone Calculation: comes in handy when you have a calculation that is already set up and a date or a unit are different, so you do not have to enter it all by hand again.
    2. Verify Calculation: check the calculation errors
    3. Show Recalculation Status: view the last time a line was recalculated and for which units
    4. Force Recalculate: recalculate an account or the entire list for a particular time frame

How Do I Create Business Calculations?

  1. Open Accounts activity
  2. Click Add
  3. Assign that account to the appropriate meta-account
  4. Set the account to Calculated in the 'MODE' column
  5. Open Calculations activity
  6. Click Add
  7. Assign a name to the calculation
  8. Select the beginning and end date for the calculation
  9. Select the account to which the result should post
  10. Expand the calculation details
  11. Select the type of calculation necessary
  12. Build out each line of the calculation
  13. Click the Active check and send
  14. Click Actions
  15. Select Force Recalculate to test the calculation
    1. It's best to run the recalculation for a small portion of data (one or two days for one unit) until the calculation has been validated
  16. Validate the calculation using the Daily Business Summary Report or DBS Calculation Scheme Report
